Job Overview

We are looking for a reliable and detail-oriented Purchasing Administrative Assistant to support day-to-day procurement operations. The ideal candidate brings experience in purchasing or administrative roles, strong Excel proficiency and excellent communication skills. This position plays a critical role in maintaining vendor relationships, tracking orders and ensuring seamless purchasing workflows.

 

Responsibilities

• Support purchasing operations by maintaining accurate records, tracking orders and managing supplier communications
• Assist in preparing purchase orders, reports and documentation
• Collaborate with internal teams to confirm order requirements and delivery timelines
• Use Microsoft Excel for data analysis, inventory updates and procurement reporting
• Ensure all purchasing activity aligns with company policies and timelines
• Coordinate with vendors regarding order status, discrepancies and returns
• Handle time-sensitive purchasing tasks with speed and accuracy
• Maintain organized digital and physical files for audit and reference

 

Job Qualifications and Skills Set

• Proven experience in purchasing, procurement or administrative support roles
• Strong proficiency in Microsoft Excel, including advanced formulas and data reporting
• Excellent English communication skills (written and verbal)
• High attention to detail and accuracy
• Strong organizational and time management skills
• Ability to multitask and meet deadlines in a fast-paced environment
• Comfortable working with cross-functional teams
