How medical virtual assistant services work with us

A founder-run e-commerce retailer called the person we placed "the best employee in 13 years" (Clutch, 5.0). Read every review on our Clutch profile.

The person who answers your phones or works your prior authorizations is a full-time employee of Staff Outsourcing Solutions, hired for your account and supervised by a team lead on your shift in our Cebu office. Our healthcare team members are experienced under client BAAs, supporting HIPAA-regulated workflows under client compliance frameworks. The same person is on your account next quarter.

We handle the employer side: recruiting, the employment contract and payroll, benefits and HR, the workstation and the facility, and a team lead on the shift who handles attendance, coaching and the daily queue.

You set the work: the role and the count (one specialist for a solo office, or a team for a group), the scripts and procedures, the systems and the named accounts each person works in, the priorities and the quality bar. You interview the shortlist and decide who joins. Diagnosis, treatment, coding sign-off and coverage determinations stay with your providers and licensed staff.

Front desk and patient scheduling

Our healthcare specialists do this work today for a United States healthcare revenue cycle company and the hospitals and practices it serves.

  • Appointment and procedure booking by each practice's own scheduling protocols: the right provider, the right visit type, the right slot length.
  • Demographic screening on every call, with the patient record updated when details change.
  • Payment method confirmation before the visit: Medicare, private insurance or self-pay.
  • Referrals and authorizations confirmed as received or in progress before the appointment is booked.
  • Visit preparation: the patient is told what documents, forms and payment to bring.
  • Call documentation: every call and account update recorded in your system, and patient information kept confidential under your policies.

Each specialist learns your scheduling rules and phone scripts before the first call. These specialists are recruited from Nursing, Medical Technology and Radiologic Technology graduates and undergraduates, so medical terminology is not a training hurdle.

Virtual medical receptionist

When the role is the whole front desk, a medical receptionist answers your main line, routes calls, takes messages, sends reminders and confirmations, collects intake forms and handles patient portal messages, inside your phone system and practice management software. Coverage matches your clinic hours. The full role and the hand-offs to clinical staff are on our virtual medical receptionist page.

Medical billing and prior authorization support

The same team can carry the insurance side of the visit; our patient accounts and insurance claims specialists do this work today for US healthcare providers.

  • Eligibility and benefits verification before the visit, with copays, deductibles and coverage limits noted on the appointment.
  • Prior authorization requests submitted through payer portals, tracked to a decision and chased when a payer goes quiet.
  • Claim status follow-up with carriers by phone, portal and correspondence, with each claim worked to payment.
  • Denial follow-up: the reason behind each denial identified, the error or missing document corrected, and the appeal submitted when one is warranted.
  • Patient statements and balance calls: patients walked through charges, balances and payment options in plain language.

For coding, charge entry, payment posting and a full accounts receivable program, see our medical billing and coding page; our revenue cycle management page covers aged A/R projects and denial backlogs end to end.

Virtual medical scribe

A medical scribe drafts the visit note in your EHR from the visit audio or the provider's dictation, in real time or the same day, using your templates, and leaves it for the provider to review and sign. The scribe never makes a clinical decision and never signs a note. The role and its cost are on our virtual medical scribe page.

Dental practice support

Dental offices use the same model for front office scheduling and recall, insurance verification and benefit breakdowns, treatment plan follow-up, dental billing support and patient reactivation. The team works in whatever software your office runs; details are on our dental practice support page.

Practice administration support

A practice administration specialist takes the weekly work off your office manager's desk: credentialing and re-credentialing paperwork with deadlines tracked; vendor and supply orders and their invoices; the Monday reports (schedule fill, no-shows, aged A/R); onboarding packets, time-off tracking and license renewal dates for clinical staff; and the administrator's inbox and calendar under agreed rules. The same person often covers general admin support tasks between healthcare tasks: document management, leadership scheduling and data clean-up.

Working under your BAA and compliance framework

Healthcare work is regulated work, and the framework that governs it is yours.

  • Experienced under client BAAs. Our healthcare team members are experienced under client BAAs, supporting HIPAA-regulated workflows under client compliance frameworks. The business associate agreement is your document and we work under it. HHS explains who counts as a business associate and what the agreement must contain in its business associates guidance and its sample business associate agreement provisions.
  • Your policies govern. Your privacy, security and minimum-necessary policies are the rules the team works to; your compliance officer decides what the team may access and how incidents are reported.
  • Training before access, then named accounts. Every specialist is trained on your procedures, systems and escalation paths before an account is created, then works through an individual account you create with the access the role needs and nothing more. You can change or remove that access at any time.
  • No patient data outside your systems. Patient information stays in your EHR, practice management system and payer portals; nothing is exported to local drives or personal devices.
  • On-site workstations, monitored. The work happens at workstations in our Cebu Business Park facility, with activity monitoring and CCTV over the production area (employee background check).

There is no HIPAA certification a vendor can hold, so we do not claim one; we walk your compliance officer through the access scope and the BAA on the first call.

Systems we work in

Our healthcare teams work today in Epic, Oracle Cerner, athenahealth, eClinicalWorks, NextGen, drchrono, Tebra, Availity and Change Healthcare, plus the payer portals your billing runs through. A specialist learns another platform during onboarding, before going live. Tell us what your office runs and we match the candidate to it.

What a dedicated healthcare specialist costs

A dedicated healthcare specialist starts from $1,500 a month, all-in: salary, benefits, workstation, facility, supervision and HR, one monthly rate per specialist.

For comparison, the US Bureau of Labor Statistics puts the median pay for medical assistants at $45,690 a year, or $21.97 an hour, as of May 2025, before benefits, payroll taxes and the cost of the desk. At $1,500 a month a specialist costs $18,000 a year, about 60 percent below that median on the salary line alone, inside the 53 to 70 percent range our clients typically see. The salary line is the smaller part of the gap: a $45,000 US salary is closer to $80,000 once you add payroll taxes, benefits, equipment, recruiting and manager time. A managed specialist in our Cebu office costs about a quarter of that fully loaded cost and, with our supervisors on the same shift, gets about twice as much done: twice as productive at a quarter of the cost.

Start with one specialist and add more as the practice grows. Call 1-888-356-8024 with the role and the hours, or send the form.

An IT services firm has stayed with us since 2014, with customer-satisfaction scores up 25%+ (Clutch, 5.0).

No setup fees, no screening fees, no long-term contract and no minimum team size: start with one team member and add more as the work grows.

Who joins your team, and how we build it

Cebu has a large pool of Nursing, Medical Technology, Radiologic Technology and allied-health graduates, and our healthcare postings recruit from it. Billing and claims roles require at least a year of provider-side AR or claims work with denial processing. We also recruit Spanish bilingual specialists for patient accounts work. Our team members are not licensed to practice in the United States and make no clinical decisions; their training helps them schedule the right visit, read a denial and explain a bill.

  1. You define the role. On the first call we take the role, the hours, the systems and the procedures the person will work to.
  2. We recruit and vet. Every candidate passes a skills assessment, a role-specific evaluation, a cultural fit review and background verification before you meet them (thorough employee vetting).
  3. You interview the finalists on video and choose. Nobody starts on your account without your yes.
  4. We onboard and go live. The specialist trains on your systems and scripts before an account is created, then a team lead on the shift runs attendance, quality and the queue while you direct the work.

Team members work the night shift in Cebu, your US business day, Monday to Friday, on-site, as direct full-time hires with HMO cover, night differential and holiday pay.

Most roles start in 2 to 4 weeks, depending on the role. Every account has an account manager, every team member works 100 percent onsite in our Cebu office, and if someone leaves, we recruit the replacement and you interview the next shortlist.

Why Staff Outsourcing Solutions

Our founder, Chris Rush, opened Staff Outsourcing Solutions in 2010 after hiring a Philippine BPO that did not work, and has run dedicated teams for US companies from Cebu Business Park for 15 years since. The company is SEC-registered and DOLE-compliant in the Philippines, with a US office in Nixa, Missouri. Thousands of employees across a multi-shift, multi-floor operation mean your team can grow for a new location or a payer transition under the same team lead. Our healthcare support page covers the wider healthcare BPO work.

Our facility has a full building generator for backup power. We have multiple redundant internet services running on separate undersea cables with direct routes to the US and beyond. This allows us to have reliable, low-latency service for our clients. See our facilities.

Frequently asked questions

From $1,500 a month per dedicated specialist, all-in: salary, benefits, workstation, facility, supervision and HR. Against the BLS median of $45,690 a year for a US medical assistant, that is about 60 percent lower on the salary line, before benefits, payroll taxes and turnover. You can start with one specialist.

The administrative work of a practice: patient calls, scheduling and confirmations, insurance verification, prior authorizations, claim and denial follow-up, statements and practice admin. With us the person is a full-time healthcare specialist in our Cebu office, dedicated to your practice; clinical work stays with your providers.

Our team members are experienced under client BAAs: the business associate agreement is your document, your compliance officer sets its terms, and we work under it. Team members support HIPAA-regulated workflows under your compliance framework, through named accounts in your systems, from monitored on-site workstations in Cebu.

In practice, nothing: both describe remote administrative support for a healthcare organization; "medical" is used more by practices, "healthcare" by groups and health systems.
