What we handle and what you handle

A founder-run e-commerce retailer called the person we placed "the best employee in 13 years" (Clutch, 5.0). Read every review on our Clutch profile.

We recruit against your written role, employ the person under Philippine law, and run payroll, HMO and benefits, HR, the workstation and the facility. A team lead on the same shift knows the account, handles attendance and coaching, covers planned leave, and takes your call if something is wrong. An account manager reports to you.

You set the role: the ten things the person owns, the tools, the hours, and the limits on what they may send, spend or book without approval. You interview the shortlist on video and choose. Decisions, signatures and anything that commits money or carries legal authority stay with you; the executive assistant prepares it and you approve it.

What a virtual executive assistant takes off your plate

The role is built around one executive: the work an executive assistant runs for a founder, CEO or senior executive, in your tools, with access you grant.

  • Inbox. Triage by a rule you set together in the first week: what reaches you, what gets a drafted reply in your voice, what is filed.
  • Calendar. Scheduling across time zones, buffers protected, the pre-read attached before the invite goes out.
  • Travel and expenses. Flights, hotels, ground transport and the itinerary in one document; receipts collected and the expense report filed.
  • Meeting preparation and notes. The agenda, the background on each attendee, the numbers you will be asked about, and the notes afterwards with owners and dates.
  • Follow-up tracking. Every commitment logged with an owner and a date, chased before it is late, reported in a weekly priorities brief.
  • Board and investor materials. Deck assembly from your content and your finance team's numbers, version control, the pre-read sent on time.

If the need is a team working outbound calls, see appointment setting services; if it is recurring dashboards, see data analytics.

Executive assistant vs virtual assistant: which one do you need

The difference is seniority, scope and judgment.

  • Scope. An admin team member works a defined task list for a team: data entry, filing, scheduling for several people, email by a script. An executive assistant works for one person and owns outcomes: your week runs, your commitments are kept, your inbox is current.
  • Judgment. A task-based role escalates anything outside the script. An executive assistant decides which of two meetings moves, and drafts the reply to a board member for your approval.
  • Confidentiality. An executive assistant reads your email, sees compensation, deal terms and board material, and books your family travel; the access, the NDA and the controls are built for that (details below).
  • Cost. Both roles start from the same monthly price with us; the difference is who we recruit, and for the executive role that means prior executive-support or senior administrative experience.

For a defined task list worked for a group of people, see our admin support services page.

What an executive assistant costs: from $1,500 a month

A full-time executive assistant starts from $1,500 a month, all-in: salary, benefits, workstation, facility, supervision and HR. The one monthly rate also covers the recruitment, the equipment in our office, payroll, the team lead on the shift and the account manager. No hourly meter and no separate platform fee: the person who learned your calendar in month one is still on your account in month twelve.

For the comparison, the US Bureau of Labor Statistics puts the median pay of executive secretaries and executive administrative assistants at $76,590 a year as of May 2025, about $6,380 a month before payroll taxes and benefits. Clients typically save 53 to 70 percent on the salary line against the same hire in the US, and the salary line is the smaller part of the gap: a $45,000 US salary is closer to $80,000 once you add payroll taxes, benefits, equipment, recruiting and manager time. A managed team member in our Cebu office costs about a quarter of the fully loaded cost of the same US hire and, with our management on the same shift, gets about twice as much done: twice as productive at a quarter of the cost.

Start with one team member and add more. Call 1-888-356-8024 with the role and the hours, or send the form.

An IT services firm has stayed with us since 2014, with customer-satisfaction scores up 25%+ (Clutch, 5.0).

No setup fees, no screening fees, no long-term contract and no minimum team size: start with one team member and add more as the work grows.

How to hire an executive assistant (and how we run it for you)

Hiring an executive assistant well takes four steps, whether you run them or we do.

  1. You define the role in writing. The ten things the person will own, the tools, the hours, and the limits: what they may send without approval, what they may spend, what they may book.
  2. Test written English and judgment. Give candidates a real inbox sample and a scheduling conflict and read what they write back. We can build this test from your own examples and run it in screening, so you see the finalists' work with the shortlist.
  3. Check references and background, then interview and choose. Every candidate we endorse passes a skills assessment, an interview with the account manager and a third-party background check before you meet them (the steps: thorough employee vetting and employee profile and background check). You interview the finalists on video and choose.
  4. Start with a plan and a review date. Philippine labor law gives every new hire a six-month probation. We treat it as the second half of the interview: a written plan for the first weeks and a review with you before the person is confirmed.

Most roles start in 2 to 4 weeks, depending on the role. Every account has an account manager, every team member works 100 percent onsite in our Cebu office, and if someone leaves, we recruit the replacement and you interview the next shortlist.

Confidentiality, access and tools

Can you trust someone about 8,000 miles away with your inbox? The answer is in the controls.

  • An NDA for your account. The executive assistant signs confidentiality obligations and an NDA for your account before the first login, on top of the employment contract with us.
  • Delegated access instead of shared passwords. In Google Workspace, mail delegation lets a delegate read, send and delete email in your account without your password, and Google's help page states a delegate cannot change it. In Microsoft 365, Outlook delegate access has three levels (Reviewer, Author and Editor), and the right to send as you is granted by your admin. Anything else goes in a password manager with shared vaults, revocable one entry at a time.
  • Least privilege. The access the role needs and no more, through accounts you issue and can remove at any time. Payment approvals, banking and signing authority stay with you.
  • Company equipment, on-site. The executive assistant works from our Cebu office on company equipment, never from home, in a production area covered by CCTV.

Working hours and communication

Your executive assistant works your business hours, Monday to Friday. Cebu is 13 hours ahead of US Central time (14 in winter), so a 7 AM start in Chicago is 8 PM in Cebu, a normal shift here.

The usual rhythm, in your channels, is a ten-minute check-in at the start of your day and a weekly review of the priorities brief: commitments kept, commitments at risk, the week ahead. Your account manager adds a weekly check-in, a monthly performance report and a quarterly business review.

Executive assistants in the Philippines, and why Cebu

English is an official language of the Philippines and the language of university instruction, so the executive assistant writes the email and takes the call without a translation step. The night shift is normal working life in Cebu, with the night differential and holiday premium pay Philippine law sets for it in every package we offer.

Every executive assistant we place is a direct, full-time employee of Staff Outsourcing Solutions, with HMO, service incentive leave after regularization, salary appraisals and SOS Academy training. We have built dedicated roles for US companies from this facility in Cebu Business Park since 2010, 15 years, with thousands of employees across a multi-shift operation. Our founder, Chris Rush, has sold online since 2001 and buys this service as well as sells it: the support, data, design and marketing teams behind our founder's own eCommerce business sit in this office. The company is SEC-registered and DOLE-compliant, with a US office in Nixa, Missouri. For the country question, see our page on hiring in the Philippines; for our other service lines, see outsourcing to the Philippines.

Our facility has a full building generator for backup power. We have multiple redundant internet services running on separate undersea cables with direct routes to the US and beyond. This allows us to have reliable, low-latency service for our clients. See our facilities for the building.

Scope and judgment. A task-based admin role works a defined list for a team and escalates anything outside it. An executive assistant works for one person, owns the calendar, inbox, travel and follow-ups, drafts in your voice and decides what reaches you.

We recruit against your written specification: prior executive-support or senior administrative experience, tested written English, and a judgment test on a real inbox sample; you interview the finalists yourself.

An NDA for your account, delegated access instead of shared passwords, least-privilege accounts you can revoke at any time, company equipment in our Cebu office with CCTV on the production area, and a background check before the person meets you.

Yes, within limits you set in writing: vendor coordination (quotes, renewals, invoices routed for approval) and the calendars of your other Cebu team members. Hiring, firing and spending authority stay with you.

Say so to your account manager. The six-month probation exists for this: the written first-weeks plan and the review with you are where a wrong fit shows, and you interview any new shortlist yourself, the same way you chose the first time. Call 1-888-356-8024 and tell us what is not working.

Most roles start in 2 to 4 weeks, depending on the role. If someone leaves later, we recruit the replacement and you interview the next shortlist, with no setup fees and no long-term contract.
