How insurance BPO services work with us
Insurance business process outsourcing means another company hires, trains and manages the people who carry your routine operational work, while you keep the underwriting, the claim decisions, the policies and the customer relationship. With us, those people are full-time employees of Staff Outsourcing Solutions, on-site in our Cebu office and assigned only to your account.
- You choose the size: one specialist or a full offshore team, matched to your volume, your business hours and your budget.
- You interview the shortlist: we send candidate profiles, arrange interviews, and you pick who joins your account.
- The team works in your systems: your policy administration system, claims platform, agency management system, document management and phone system, through accounts you control.
- We handle the employer side: recruitment, training, performance management, payroll, benefits and HR.
The model fits carriers, agencies, brokers and managing general agents. The work changes by account; the structure stays the same.
Claims intake and processing support
Claims work has a lot of steps that need care but not a license. That is where the team fits.
- First notice of loss intake. Claim details captured from calls, emails and web forms and entered into your claims platform, complete and on the right policy.
- Claims data entry. Our claims data entry teams key policy and claims records into your platform under an agreed QA method, such as double-key entry on critical fields or a daily sample audit by the team lead.
- Document collection and follow-up. Requests for photos, estimates, police reports, invoices and signed forms, tracked until the file is complete.
- File preparation and status updates. Claim files organized for your adjusters, diary items worked, and status updates sent to claimants and agents in the wording you approve.
Coverage decisions, claim determinations and payment approvals stay with your licensed staff. On the provider side, our revenue cycle management teams work medical claims, denials and patient accounts receivable inside a provider's own billing platform. Our team members are not licensed adjusters; they prepare the file so your adjusters spend their time on decisions.
Policy administration and document indexing
Policy service is steady, detailed work, and it piles up at renewal time.
- New business and endorsements. Applications, changes of address, vehicle and driver changes, and other endorsements processed in your system, by your rules, with anything outside them sent back to your team.
- Renewals. Renewal lists worked, missing information requested, and files prepared ahead of the renewal date.
- Certificates and loss runs. Certificates of insurance issued from your templates and loss runs requested and filed, where your process allows it.
- Document indexing. Incoming mail, scanned documents, emails and attachments named, tagged and filed to the right policy or claim in your document management system, so anyone on your team can find them.
Between tasks, the same team can carry the back-office work around the policy record: data cleanup, reports and account updates.
Customer inquiries, phone, chat and email
Policyholders call about billing, coverage questions, ID cards, document requests and claim status. The team answers on phone, email and live chat, using your call flows, your saved replies and your escalation rules. Anything that needs a licensed answer goes to your licensed staff, the same day. Our inbound customer service and chat and email support pages cover call and ticket handling in more detail.
When renewal reviews and new-policy conversations need booking, appointment setting for insurance brokers runs on the same dedicated team model, under your compliance rules. The setter books the meeting; your licensed producer has the conversation.
Working under your compliance policies
Insurance is regulated work, and the rules that govern it are yours. The team follows them; it does not replace them.
- Your policies, your systems. Team members work in your systems, with the access you grant, under your compliance policies, privacy procedures and record-keeping rules. You set their access and can remove it at any time.
- Licensed work stays licensed. The team does not quote, sell or bind coverage, give coverage advice or decide claims. Those steps stay with your licensed people.
- Health insurance. For health plan work, our team members are experienced under client BAAs, supporting HIPAA-regulated workflows under client compliance frameworks. See our healthcare support page.
- Security on our side. NDA agreements, secure devices, access controls and confidentiality obligations apply to every account, and the work happens on-site in our Cebu Business Park facility.
- Hiring. Every candidate goes through skills and English assessments and background verification before you meet them. The full process is on our thorough employee vetting page.
What does insurance outsourcing cost?
A dedicated insurance support team member starts from $1,500 a month, all-in: salary, benefits, workstation, facility, supervision and HR. You pay one monthly rate per team member rather than a fee per claim or per policy, so the person who learned your forms and your exceptions is still on your account next quarter.
Our founder runs his own companies on the same math. A managed team member in our Cebu office costs about a quarter of the fully loaded cost of the same US hire and, with our management on the floor, gets about twice as much done: twice as productive at a quarter of the cost. On the salary line alone, clients typically save 53 to 70 percent.
Why Staff Outsourcing Solutions
We have built and run dedicated teams for US companies since 2010: 15 years of back-office, data and customer service work from one facility in Cebu Business Park. The company is SEC-registered and DOLE-compliant in the Philippines, with a US office in Nixa, Missouri.
Thousands of employees and a 1,000-seat capacity across a multi-shift, multi-floor operation mean your team can grow at renewal season or after a storm, under the same team lead, on your business hours.
Our facility has a full building generator for backup power. We have multiple redundant internet services running on separate undersea cables with direct routes to the US and beyond. This allows us to have reliable, low-latency service for our clients.

Frequently asked questions

The repeatable, rules-based work: first notice of loss intake, claims data entry, document collection, endorsements, renewals, certificates, loss runs, document indexing, billing questions and claim status calls. Underwriting, claim decisions and coverage advice stay with your licensed staff.
Staffing gives you people; BPO usually means a vendor runs a process for you. Our model sits between the two: dedicated team members who work your process, in your systems, while we hire, house, supervise and manage them.
